About the Role
We are seeking a highly organized, proactive, and independent Executive Assistant to support our President and the leadership team. As this is the president's first hire in this capacity, the role requires a flexible individual who can grow and adapt as the position's goals evolve. Our president is very hands-off and needs someone who is autonomous and can think quickly on their feet.
You’ll be the central point of coordination, freeing up our president's time from daily administrative and scheduling demands. You'll play a vital role in ensuring he stays connected and engaged with the broader team, our various board commitments, and our clients, allowing him to focus on culture, relationships, and high-level leadership.
Key Responsibilities
Calendar & Schedule Management:
- Oversee and prioritize the president’s calendar, including booking meetings, coordinating travel, and scheduling regular job site visits.
- Attend leadership meetings and support the president in tracking and following through on all action items.
- Keep the president informed and up-to-date on activities and commitments related to his various board roles.
Email & Communication Management:
- Manage and filter the president’s inbox, flagging high-priority items and drafting responses when appropriate.
- Facilitate check-ins between the president and the leadership team, ensuring alignment across all divisions.
Team & Culture Coordination:
- Work directly with individuals internally to ensure the president has the necessary information to check in with them effectively.
- Help reinforce company culture by ensuring the president stays connected and engaged with the broader team during job site visits and other internal meetings.
Administrative Support:
- Handle day-to-day tasks such as form completion, document management, and other ad-hoc requests.
- Proactively identify ways to streamline workflows and improve internal coordination.
Qualifications
- Experience: 5–10 years of experience as an Executive Assistant or in a similar operational/administrative role.
- Independence: A self-starter with strong judgment, able to anticipate needs and solve problems proactively.
- Flexibility: The ability to adapt to an evolving role and manage a wide range of administrative and operational tasks.
- Communication: Excellent written and verbal communication skills.
- Tech Proficiency:
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
- Experience with Paylocity is a plus.
- Background: Knowledge of the construction or painting industry is helpful but not required.
- Mindset: An autonomous, quick-thinking individual who excels at independent work.
- Teamwork: Experience working with remote or distributed teams is a plus.
