The Role 🎯

You'll be a key member of the HRSSC team, providing critical HR administrative support to global HR teams throughout the employee lifecycle. You'll work closely with the Global HR Operations function team, which is the core of our People organization, ensuring that all employment conditions and documentation are meticulously managed for all staff.

What You'll Do 📝

  • Maintain Employee Data: Input and update employee information in our HR system (e.g., personal data, job details, promotions, compensation, leaves, education, background checks, line managers, etc.).
  • File Management: Maintain personnel files in strict adherence to legal requirements and internal standards.
  • Onboarding Support: Assist with new hire onboarding and background verification processes. Send out induction plans and welcome emails.
  • Audit Support: Provide audit support for personnel files, forms, and related documents.
  • Employee Support: Respond to general employee requests, including letters, verifications, reference checks, and generating visa invitation letters.
  • Reporting: Generate reports for employee distribution lists, new joiners, anniversaries, and other milestones.
  • Probationary Period Tracking: Monitor employee probationary periods and flag any necessary actions to the HR team to ensure geographic process compliance.
  • Employee Paperwork: Prepare, process, and follow up on employee paperwork related to new hires, promotions, transfers, address changes, additional payments, status changes, and employee exits, handling all information with utmost confidentiality.
  • Inbox Management: Manage and maintain the inbox, responding to employee queries and escalating them to the appropriate team members when needed.
  • Coordination: Coordinate with support functions for new hire laptop setup, access provisioning, payroll setup, and other related tasks.
  • Policy Development: Contribute to developing and revising operating policies, guidelines, procedures, systems, and documentation to promote best practices within the team. Conduct regular reviews of these materials.
  • Process & Technology Adaptation: Take a proactive, flexible, and practical approach to managing process and technology changes, ensuring successful project outcomes.
  • General Support: Provide overall support to the HR team and perform other duties as assigned or required.

Preferred Experience & Qualifications 💼

  • Education: A Bachelor's Degree.
  • Experience: 6+ years of relevant work experience in professional services or multinational companies.
  • Workday Knowledge: Familiarity with Workday and experience in Global HR Operations or HR Shared Services.
  • MS Office Proficiency: Proficient in MS Office Suite (Word, Visio, Excel, PowerPoint, Outlook).
