The Role: Team Support Assistant πΌ
This key role ensures smooth administrative processes within the Broking & Operations team. You'll manage access requests, support business leaders, maintain crucial documentation, and provide organizational support to boost efficiency.
What You'll Do:
- Manage and track access requests for various platforms and tools.
- Coordinate the creation of activities in business tools for new and existing teams.
- Develop and maintain support materials for tools and platforms, integrating them into onboarding plans.
- Create and maintain a centralized knowledge repository for technical training.
- Create and update Standard Operating Procedures (SOPs).
- Support the migration of team collaboration tools, ensuring smooth transitions.
- Provide administrative support to business leadership (scheduling, document drafting).
- Assist with formatting presentations and communications (including typing).
- Schedule team meetings, draft agendas, take minutes, and coordinate actions.
- Coordinate logistics for meetings, seminars, and team events.
- Update and maintain business presentations and communication materials.
- Assist in planning and coordinating business visits, ensuring logistics and materials are in place.
- Organize travel arrangements (flights, hotels, expense advances).
- Submit and track expense reports, ensuring timely processing and policy adherence.
- Maintain and update business team rosters for accurate workforce tracking.
- Maintain accurate records and documentation for audits and internal reporting.
What We're Looking For:
- Required:
- +10 years' experience in an administrative or similar role.
- Excellent organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Strong Microsoft Office skills (Outlook, Excel, PowerPoint).
- Familiarity with international business practices and cultural sensitivity.
- Fluency in English (reading, writing, and speaking).
- Experience in an international consulting or professional services environment.
- Strong problem-solving skills.
- Preferred:
- Bachelor's degree in business administration or a related field.
- Organized and detail-oriented with excellent follow-through.
- Flexibility and adaptability.
