Executive Administrative Assistant to the President – Full-time (Vancouver, Washington Area) | $31.25 - $36.06/hour

Essential Duties and Responsibilities
Calendar & Travel Management
- Manage and maintain the President’s schedule, including appointments, meetings, and conferences.
- Coordinate domestic and international travel arrangements, including transportation, lodging, and conference registration.
- Create and maintain detailed travel itineraries.
Communication & Documentation
- Prepare executive-level responses to routine memos, letters, and correspondence.
- Compose, draft, and proofread a variety of documents, many of which are sensitive and confidential.
- Scan, copy, and send group notifications using platforms such as Microsoft Outlook and Teams.
Meeting & Event Coordination
- Attend Executive Team and other leadership meetings; record minutes and track follow-up tasks.
- Organize monthly staff meetings and assist in planning staff retreats.
- Coordinate logistics for Board of Directors meetings, including scheduling, agenda preparation, distribution of materials, and maintaining meeting minutes.
- Assist in preparing presentations, reports, and materials for meetings and events.
Project & Office Support
- Provide in-person and in-office support when needed.
- Support the President with general clerical and administrative tasks.
- Manage special projects by establishing objectives, setting priorities, coordinating with others, and adjusting plans as needed.
- Provide support for organizational programs and strategic initiatives.
- Perform other duties and special projects as assigned.
Requirements
Education and Experience
- Bachelor's degree with a minimum of four years of experience providing administrative support to a senior-level executive. An equivalent combination of education and experience may be considered.
- Demonstrated experience in scheduling and calendaring, preferably using Microsoft Outlook.
- Proven ability to compose, edit, proofread, and format written materials.
- Ability to type 55 WPM.
- Intermediate level skills with Microsoft Office Suite (Word, Excel, Access, Outlook, and PowerPoint).

- Ability to effectively present information and respond to questions from supervisors, donors or sponsors, clients, vendors, organization partners, and the general public.
Mathematical Skills
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Calculates currency conversion, discounts, and interest, when needed.
Computer & Technical Skills
- Requires advanced computer skills, including logging on to systems, word processing, spreadsheet, report writing, project management, presentation creation or editing, database, use of the internet, and communication by e-mail.
- Requires knowledge of and use of Microsoft Office 365, including Outlook and Teams.
Reasoning Ability
- Ability to work with and protect extremely confidential files and information, and have the appropriate discernment regarding handling issues of varying complexity and sensitivity.
- Ability to define problems, collect data, establish facts, draw valid conclusions, and deal with a variety of abstract and concrete variables.
- Has the discretion to weigh the seriousness of an issue and pass it along to the appropriate party or leader within the organization, as needed.
Certificates, Licenses, Registrations
- Must possess a valid driver’s license and ability to supply appropriate documentation or identification to travel authorities when traveling domestically and internationally.
Physical Demands
- While performing the duties of this job, the employee is regularly required to sit, stand, walk, use stairways to climb to multiple floors within the office building, use hands and fingers to keyboard or dial, reach with hands and arms, and talk or hear.
- The employee must infrequently lift and or move up to 25 pounds.
- Specific vision abilities required by this job include close vision, color vision, and the ability to adjust focus, especially with frequent computer use.
Work Environment
- The noise level in the office work environment is usually moderate.
- The work environment while traveling domestically or internationally could contain several environmental factors, including, but not limited to, outdoor weather conditions (extreme hot or cold), work in countries with a high incidence of illness or disease or poor living conditions of their inhabitants, political unrest or danger, and physical obstacles and or hazards.
Virtual Remote Work Eligibility
- This position is eligible for virtual remote work, but must reside in the Vancouver, Washington area to provide occasional in-office and in-person support.
- AGCI may offer virtual remote work to some employees when it would be a benefit to both the organization and the employee.

Compensation
- $31.25 to $36.06 per hour depending on experience.
