The Role
As part of our Office Management team, you will assist the team to confirm the smooth running of the HQ office in the center of Lisbon on a daily basis and complete various administrative, supportive, and organizational tasks to maintain the ongoing requirements of managing our facilities.

Responsibilities (What You’ll Do)

  • Manage the facilities, overseeing and agreeing contracts and providers for services and supervise their work (e.g., cleaning staff, maintenance).
  • Manage the office supplies, ordering it and keeping track of those with the adequate suppliers (e.g., IT equipment).
  • Complete the onboarding and offboarding for every employee (i.e., prepare the equipment, manage credentials, explain office functioning).
  • Manage and submit payments and invoices, following the department’s budget.
  • Apply and maintain procedures/office administrative systems.
  • Organize company events and meetings.
  • Apply and provide training on digital tools used by the team.
  • Book transport and accommodation.
  • Deal with correspondence and daily maintenance needs.
  • Confirm that Office health and safety policies are up to date.
  • Support colleagues as well as other departments when administrative support is needed.

Requirements (What We’re Looking For)

  • 1 year or more of administrative experience, preferably managing an office in a multinational environment/culture.
  • Excellent English skills (mandatory).
  • Proficiency in MS Office and Google tools (other digital tools, like Airtable or Confluence, Jira, are a good plus!).
  • Working experience in dealing with office equipment (e.g., printers, computers).
  • People person with good communication and negotiation skills.
  • Organized, collaborative, and fast learner with a proactive and hands-on attitude.
  • Team spirit with a Problem-solving mindset.

You are organized, proactive, and hands-on, with experience and a taste for tech/digital tools. Also, you should feel comfortable dealing with different and multicultural teams daily and have great oral and written communication skills.
